How Much Does an AI Agent or WhatsApp Chatbot Cost for a Small Business? Real 2026 Prices

Customer support agent with a headset and an AI assistant

Most pages that answer this question give ranges like “$10,000 to $100,000”, which don’t help anyone decide. Here’s how we price an AI agent for a small business, the three tiers almost every project falls into, and what you’ll pay each month to run it.

The short answer

  • An assistant that answers with your company’s information (website or WhatsApp, not connected to your systems): from around €1,000.
  • An agent connected to 1–3 tools (CRM, calendar, orders) that takes actions and hands difficult cases to a person: €2,000 to €5,000.
  • An agent that works across several systems or answers phone calls: from €5,000.
  • Monthly usage: usually cents per AI conversation, plus WhatsApp or phone fees if you use them.
  • In every tier: we save and evaluate every conversation, to catch mistakes and improve the agent with real data.

What drives the price up (or down)

1. How many tools it has to use

This matters most. An agent that only answers questions from your documents is simple. Every system it connects to in order to do something (check an order, book an appointment, create a CRM contact, issue a quote) adds integration work, testing and edge cases: what happens if the system is down, if the customer gives the wrong details, or asks for something that isn’t allowed.

2. The channel

  • Website chat: the cheapest to launch.
  • WhatsApp: a bit more setup than a website, but it’s where your customers are. Below we explain the two ways to connect it and what each costs.
  • Phone: the most demanding. The voice has to sound natural, answer fast, handle interruptions and transfer the call to a person when needed.

3. How much autonomy it gets

An agent that drafts while a person approves is quicker to launch and safer at first. One that replies and acts on its own needs more testing, clear limits and logging. Many projects start with human approval and give the agent more autonomy as it proves itself.

4. How organised your information is

If your prices, terms and procedures are in order, the agent learns fast. If they’re spread across emails, old PDFs and one person’s head, part of the project is writing them down. That work pays off beyond the agent too.

What you’ll pay each month to run it

On top of the build, an AI agent has running costs. The good news is they’re usually low and grow with real usage, not with the number of users.

Item Approximate cost Notes
AI model (OpenAI, Anthropic, Google…) Cents per conversation Depends on the model and length. Smaller models are enough for many tasks
WhatsApp Business (Meta fees) Replying within 24 hours of the customer’s message is free or costs cents. Marketing messages cost around €0.05–0.06 each in Spain WhatsApp providers (BSPs) may add their own fee
Voice calls Roughly €0.10–0.30 per minute all-in Covers speech recognition, AI, synthetic voice and telephony
Hosting and automations From a few euros a month For example, self-hosted n8n on a European server

To give you an idea: an agent handling 1,000 chat conversations a month usually costs tens of euros in AI, not hundreds. For voice, 1,000 minutes a month is in the region of €100–300.

WhatsApp: official API or a connection with no per-message fees

There are two ways to connect an agent to WhatsApp, and the choice changes the cost:

  • The official WhatsApp Business API (Meta). The option for large volumes, campaigns and businesses that need official verification. You pay Meta’s per-message fees and need approved templates to message a customer first.
  • A connection through a regular number, using open-source tools such as Evolution API. There’s no per-message fee, and the agent works like any person on WhatsApp, including groups and voice notes. The trade-off: it isn’t Meta’s official route, so it’s not for bulk or marketing sends. It’s best for one-to-one conversations at moderate volumes.

Which one fits depends on the use case. In a recruitment project we’re building, the agent talks to candidates on WhatsApp through Evolution API, with no per-message cost.

Logging and evaluation: how you know it answers well

An AI agent isn’t something you install and forget. In all our projects, whatever the tier:

  • We save every conversation: what the customer asked, what the agent replied and what actions it took.
  • We evaluate them. We review the answers and catch the ones that go wrong: the conversations the agent couldn’t solve or handed to a person are the ones that tell us what to improve.
  • We test every change. Before changing the instructions or the AI model, the agent runs through a set of real conversations and tricky cases, and we check it still answers well.

So every improvement can be measured, and nothing changes without being tested first.

Optional: a dashboard for your team. If you want to see the conversations yourself, step into one and take over (the agent stops instantly and you hand it back when you’re done), or see which message each piece of saved data came from, we add it as a dashboard of your own. It raises the project price, but for businesses with a high volume of conversations it usually pays off.

Is it worth it? Do this sum

Compare the cost with the time it frees up:

  1. Count how many repetitive enquiries you get each month (phone, email, WhatsApp).
  2. Multiply by the minutes each one takes.
  3. Multiply by the hourly cost of whoever handles them.

If 600 enquiries a month take 5 minutes each, that’s 50 hours a month. At €20 an hour, that’s €1,000 a month in staff time, not counting the enquiries that arrive out of hours and get lost. A €3,000 connected agent pays for itself in a few months.

In one of our projects, automating support with AI cut human work by 80%.

When we wouldn’t recommend a custom agent

  • If you get few enquiries and they’re all different: it probably won’t pay off yet.
  • If a standard tool already covers it: many booking systems, online shops and CRMs include a basic assistant. Use that first.
  • If you’re not sure what information it should give: start by sorting that out. It’s the first step of any agent.

Frequently asked questions

Is there a mandatory monthly fee? Usage costs (AI, WhatsApp, phone) always apply, but you pay for actual usage, not per user.

Can I start with the basic tier and expand? Yes, and it’s usually the sensible route. An assistant that works well can be connected to your systems later without starting over.

Which AI model do you use? Whichever fits each task and budget best. We work with models from several providers and prefer processing data in Europe when the case calls for it. See our guide to EU data residency for AI models.

What about data protection? The agent must tell users they’re talking to an AI, handle data in line with the GDPR and keep no more than it needs. We set that up from the start.

How long does it take to get it running? From a few days for a simple assistant to 4–8 weeks for a voice agent or one working across several systems.
